Document Workflow System for Smolensk TD

The document workflow system for Smolensk TD (Desnogorsk, Smolensk region) was developed by SSL in 1998-99. The Smolensk TD works in the sphere of NPP personnel initial and advanced training. The staff of the department is about 200 employees.

During the project implementation, information survey of the enterprise was performed, basic business processes and the necessity of their automation were analyzed. The Technical Proposal for the development of IS for the enterprise support was elaborated; the Technical Requirements to the system were specified. The corporate document workflow system was developed and supplied according to the Technical Requirements.

The System comprises a set of information applications including:

• Administrative Document Workflow Automation System supporting all the basic stages of the document life cycle, such as creation/receipt of document, coordination, approval, registration, distribution, control of execution and archiving;
• Enterprise’s Personnel Support System;
• Training Process and Study Office Automation Support System including data record modules on trainees and instructors, applications for centralized acquisition and processing of information on the training process;
• Archive System for recording, storage and collective use of technical documentation in separate departments and the enterprise as a whole;
• Reference book on external contacts of the enterprise;
• Services for document searching and reference information on the main user’s functions of the System.
  

The System is realized as a complex of interconnected databases operating in Lotus Notes/Domino. Lotus applications used in the subsystem for Personnel Support are integrated with book accounting applications based on the Fox Pro databases. During installation of the System at the Smolensk TD, both the end users and designers of the applications have been trained. As a result, nowadays the functions of the applications intensively used are significantly developed and extended by the designers of the department. The System becomes more attractive for the end users in case they can modify it themselves.
